Silverthorne Staffing respects the privacy of the households, candidates, professional contacts, and visitors who interact with us. This Privacy Policy explains what information we collect, why we use it, when we may share it, and the choices available to you.
1. Information we collect
We may collect information that you choose to provide, including:
- Contact information, such as your name, email address, telephone number, and location.
- Household staffing needs, residence information, scheduling preferences, and details about requested roles.
- Candidate information, such as employment history, qualifications, references, availability, compensation expectations, and relocation preferences.
- Optional voice recordings and transcripts when you affirmatively choose a voice-transcription feature.
- Communications, documents, and other information you send to us.
- Technical information ordinarily transmitted when visiting a website, such as browser type, device type, IP address, and basic server logs.
2. How we use information
We may use information to:
- Respond to inquiries and communicate with households and candidates.
- Evaluate staffing needs, candidate qualifications, and potential placements.
- Transcribe an optional voice introduction and organize the information into your household questionnaire record.
- Coordinate interviews, references, background checks, home visits, and placement services where authorized.
- Operate, secure, maintain, and improve our website and services.
- Maintain business records and comply with legal or regulatory obligations.
- Protect the rights, safety, privacy, and property of Silverthorne Staffing and the people we serve.
3. Confidentiality and sharing
We treat household and candidate information as confidential. We may share information only as reasonably necessary with a household, candidate, reference, background-screening provider, professional adviser, technology or administrative service provider, or government authority. We do not sell personal information or use it for targeted advertising.
Candidate information is not intended to be presented to a household without an appropriate placement purpose. Household information is disclosed to candidates only to the degree reasonably necessary for a potential engagement and subject to any applicable confidentiality requirements.
4. Legal bases where applicable
Where data-protection law requires a legal basis, we process information as necessary to respond to your request, take steps toward or perform a contract, comply with law, protect legitimate business and security interests, or with your consent. You may withdraw consent where consent is the applicable basis, without affecting earlier lawful processing.
5. Retention
We retain information only for as long as reasonably necessary for the purpose for which it was collected, including placement consideration, relationship management, legal compliance, dispute resolution, and enforcement of agreements. Retention periods may differ by record type and applicable law.
6. Optional voice transcription and AI-assisted organization
When this option is available, you may choose to speak instead of completing the written questionnaire. The website will request microphone access only after you select the voice option. Your audio is processed solely to create a transcript and organize the information you provide into your household questionnaire record. Silverthorne Staffing does not retain the audio recording after transcription or make the recording available to staff.
Transcript text may be stored as a private draft while a dictation is unfinished so you can return through the same secure questionnaire link and continue where you stopped. The audio itself is not retained. Draft text may be processed by AI-assisted tools and service providers acting on our behalf only when you submit it for organization. When you submit your dictation, the transcript and organized responses become part of your household questionnaire record; topics you did not address remain unanswered for later discussion. You may clear an unfinished draft, decline microphone access, or complete the questionnaire manually instead. The recording is not used for advertising, voice identification, creation of a voiceprint, or unrelated profiling.
7. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. No method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security.
8. Cookies and similar technologies
The website uses browser storage that is strictly necessary to maintain signed-in portal sessions, remember whether a user asked to remain signed in, and preserve an unfinished private questionnaire or dictation so it can be resumed. On public informational pages and the general inquiry page, we use a privacy-focused analytics service provider to collect cookieless, aggregate analytics such as page views, referring sources, approximate location, browser and device categories, and website-performance measurements. We use this aggregate information to understand how visitors find and use the website and to improve its content and performance.
On the inquiry page, analytics records an anonymous page view and, after successful delivery, an inquiry-submitted event without any form values. Analytics is disabled on application, questionnaire, consultation, portal, member-access, and administrator pages. We do not send names, email addresses, telephone numbers, selected roles, form contents, questionnaire responses, dictation text, documents, or account information to the analytics provider. We also configure analytics not to collect URL search parameters or fragments and to respect browser Do Not Track signals. We do not use advertising, profiling, or cross-site tracking technologies. A hosting, authentication, security, or analytics provider may use technology necessary to deliver and protect its service. If our practices change, this policy and the site’s consent controls will be updated before non-essential tracking is activated where prior consent is required.
9. Your privacy choices
Depending on where you live and subject to legal exceptions, you may have rights to request access to, correction of, deletion of, or a copy of certain personal information; to withdraw consent; or to opt out of certain processing. We may need to verify your identity before fulfilling a request.
To make a privacy request, email founders@northcarolinaestatestaffing.com. We will not discriminate against you for exercising an applicable privacy right.
10. Children’s information
This website is intended for adults and is not directed to children. A parent, guardian, or household representative may provide limited information about children when relevant to a staffing request. Please provide only what is reasonably necessary and do not submit sensitive records through a general website inquiry.
11. International visitors
If you provide information from outside the United States, your information may be processed in the United States or other countries where our service providers operate. Applicable safeguards will be used where required by law.
12. Changes to this policy
We may update this Privacy Policy as our services, technology, or legal obligations change. The “Last updated” date identifies the current version. Material changes will be presented in an appropriate manner.
13. Contact
Questions about this policy or our privacy practices may be sent to founders@northcarolinaestatestaffing.com.
